How the system works

In addition to the main spreadsheet (the Kanban in which the task will be recorded and monitored) and the Dashboard for managing the team's tasks, the system has a base of closed tasks to prevent the cell limits in Smartsheet from being reached and also to prevent the main spreadsheet (task Kanban) from becoming polluted.

Kanban task cards have fields for "team members" (the people who will be carrying out the task) and a "project" field, in which employees select which project the task they are carrying out is associated with. Both fields are automatically fed into database spreadsheets using the TaskIT product, called "automatic auto picklist".

The system's automatic picklists save maintenance time and ensure that metrics are obtained efficiently, as they avoid inconsistencies in the information entered into the task kanban with the information in the project and employee databases. If you don't use this product, the "team members" and "project" picklist columns will be edited. An administrator of the team's Kanban spreadsheet will need to insert/remove the picklist data by copying it from the employee and project databases.

For detailed task management, each employee has an individual task management system with spreadsheets, reports and dashboards. The creation of these individual management systems is done automatically through the TaskIT Solution Center, a TaskIT product that allows the replication of Smartsheet structures with variable information, according to the parameters provided by the user. Failure to use this product results in the manual creation of individual employee management systems.
