How the system works
Recruitment and selection system
The simplest management system. It has a "Recruitment & Selection" spreadsheet with a form so that candidates can apply for a vacancy in the company by submitting their CVs, and automated alerts so that HR staff know when new candidates have submitted their applications.
When a candidate is hired, some of the information in this system's spreadsheet can be copied to the system's core spreadsheet, "Employee Registration Data".
Employee contract management
Main system of the solution. The core spreadsheet "Employee Registration Data" has a form for HR staff to enter new employees into the system. In this spreadsheet, the HR manager will have information such as: important dates of joining the company, regime (CLT/PJ/Estágio), document data, information on admission exams, etc. The attachments field in the Smartsheet helps manage all this.
Once a new employee is entered by the HR employee, a contract management spreadsheet is automatically created via code in the API using the contract management template. The HR manager can then manage the employee's contracts and upload information such as: promotion dates, salary amounts, benefits, etc.
In addition, when an employee leaves the company, the "Employee Registration Data" spreadsheet has a checkbox field that activates an automation that moves the rows of the terminated employee to the "Employee Registration Data" database , thus avoiding the accumulation of data on employees who are no longer part of the group. In short, data management is very automated and intelligent.
As soon as an employee joins the company, he or she will be asked to fill in personal information via dynamic view or via a form. The information uploaded will be found in the "Employees' Birthdays & Personal Information" spreadsheet, which will be responsible for sending alerts to the entire company about the month's birthdays and company anniversary celebrations. The form in the "Employees' Birthdays & Personal Information" spreadsheet has its employee name picklist fed by the data in the "Employees' Registration Data" spreadsheet, allowing the association of information between these two spreadsheets to be guaranteed using the employee's name as the key.
If the customer chooses to buy the system with Dynamic View, the name and email information is automatically uploaded from the "Employee Registration Data" spreadsheet to the "Employee Birthdays & Personal Information" spreadsheet and the personal information is filled in via Dynamic View. The advantage of using dynamic view is that the information can be consulted and edited later by the employee who entered it.
The calendar view of the "Employee Birthdays & Personal Info" spreadsheet using the birthday date as a setting allows HR to easily consult the company's birthdays. In addition, when an employee is dismissed from the company, this spreadsheet has a checkbox field that activates an automation that moves the dismissed employee's rows to the "Records of dismissed employees" database, thus avoiding, for example, birthday alerts for employees who are no longer part of the group. In short, data management is very automated and intelligent.
The "Employee Registration Data" spreadsheet feeds the "Employee List" spreadsheet, which is responsible for triggering the PDI and 360º evaluation systems.
There is a form in the system with the TaskIT "auto picklist" product. The product uploads the names of the employees to the picklist so that they can have data associated from the core sheet "Employee Registration Data" or from the sheet "Employee List" to the form's parent sheet. This avoids typos or problems in associating information. If you don't use this product, you will have to edit the "Employee name" and "Employee e-mail" picklist columns, in which case an administrator of the "Employee Birthdays & Personal Info" worksheet will need to insert/remove names and e-mails from the picklist.
If desired, the TaskIT "automatic groups" solution can be applied, which consists of adding/removing from Smartsheet groups those employees who are subscribed to/removed from the "Employee Registration Data" core spreadsheet, so that all common work areas are automatically shared/unshared with them via the group. Dynamic views are also granted/removed automatically via group by this solution. If you don't use this product, you will have to manage your Smartsheet groups manually, and system administrators will have to insert and remove employee emails from Smartsheet groups manually.
Contract management spreadsheets are created automatically via the API using a TaskIT product. If you do not use this product, you will have to create these new spreadsheets manually using the Smartsheet template.
IDP system and 360º evaluations
Monthly spreadsheet "Employee List" spreadsheet by automation prompts employees to fill in their self-assessment, which can be done via the Smartsheet form or via Dynamic View. The information is uploaded to the "Monthly Self-Assessment" and protected. Only HR has access to confidential information.
Every two months the spreadsheet "Employee List" spreadsheet by automation asks employees to fill in the team evaluation, which can be done via the Smartsheet form or via Dynamic View. The information is uploaded to the "Team Evaluation" spreadsheet and protected. Only HR has access to confidential information.
Every four months the spreadsheet "Employee List" spreadsheet by automation asks employees to follow up the IDP targets with their managers. A entering goals is done via the Smartsheet form, which uploads the information to the "Open targets - General"The follow-up can be done via the Smartsheet report "My managers' goals" or via Dynamic View. When goals are completed, they are moved to the completed goals spreadsheets. These completed goals sheets are individual to each employee and are created via API through tempate Smartsheet.
Both the employees who own the targets, their managers and HR professionals will have access to the targets. Smartsheet and Dynamic View have data protection settings.
All the forms in the system have the TaskIT "auto picklist" product. The product uploads employee names to the picklists so that they can have associated data from the core spreadsheet "Employee Registration Data" or from the "Employee List" spreadsheet to the form's parent sheet. This avoids typos or problems in associating information. Failure to use this product will result in the "Employee name" picklist column being edited. An administrator of the "Monthly self-assessment" e "Team Evaluation" will need to insert/remove names and emails from the picklist.
Not using Dynamic View for the solution makes it impossible for employees to consult the evaluations they have carried out.
The creation of closed target spreadsheets automatically via the API is done through a TaskIT product. If you do not use this product, you will have to create these new spreadsheets manually using the Smartsheet template.
Vacation and days-off management
The employee's vacation balance is calculated from the employee's contract (Trainee, CLT or PJ) and the start date of this contract entered in the "Employee Registration Data" core spreadsheet.
The "Vacation/Day Off/Medical Leave Record" spreadsheet hosts two very important forms: the vacation or day-off request form and the medical leave and certificate record form. Both forms have automatic picklist fields. The "employee's name", used as a key in formulas to associate management information, start date and calculate the vacation balance, has options loaded from the name data in the core "Employee Registration Data" spreadsheet.
Through Smartsheet automations, flows for analyzing and approving vacations or days off and alerts about sick leave are configured.
As soon as a vacation or days-off request is submitted, approval is sought from HR and the employee's manager. For this approval, the dates of the request, the total number of days requested and the employee's current balance (before the vacation is approved) are informed. If the leave is approved by HR and the manager, the employee is informed and the days are subtracted from their balance. If the leave is refused by one of the parties, they are asked to record the reason for the refusal and the employee receives notification.
The "Vacation/Leave Management" spreadsheet is responsible for displaying this data and compiling leave balances.
The employee's manager has the power to grant days off to employees via a form. The information is uploaded to a spreadsheet and, in addition to displaying information on who has been granted the days off and how many days have been granted, this spreadsheet has data on the date and time the days were granted and the login of the person who submitted the days off. The "Name" field of the form that records days off is supplied by the TaskIT automatic picklist product. This field is used as a key in formulas to associate management information, start date and calculate the balance of days off. The options in the "Name" field are loaded from the name data in the core "Employee Registration Data" spreadsheet via the auto picklist API.
The system has buttons for easy access to the forms on the dashboard. In addition, the dashboard displays gantt information and KPIs about employees on vacation.

Management of sick leave and certificates
The employee's manager information in the core spreadsheet "Employee Registration Data" are associated in the leave management system.
The spreadsheet "Vacation/Day Off/Medical Leave Record" spreadsheet hosts two very important forms: the vacation or days-off request form and the sick leave and certificate registration form.
When sick leave is submitted, the employee's manager is informed of the employee's name and the date of the leave, nothing more. The HR manager, on the other hand, receives the employee's certificate and further information, if it was submitted via a form. Medical leave is not approved.
The system has an easy access button to the form on the dashboard.
