How the System Works
In addition to the main spreadsheet (the Kanban board where tasks are recorded and tracked) and the team’s task management dashboard, the system includes a database of completed tasks to prevent Smartsheet’s cell limits from being exceeded and to keep the main spreadsheet (task Kanban board) from becoming cluttered.
Kanban task cards include “team members” fields (the people who will be performing the task) and a “project” field, where employees select the project associated with the task they are working on. Both fields are automatically populated from database spreadsheets via the TaskIT product, a feature known as “automatic picklist.”

If you do not use this product, the “team members” and “project” picklist columns will be created. An administrator of the team’s Kanban spreadsheet will need to add or remove data from the picklist by copying it from the employee and project databases.
To ensure thorough task management, each employee has an individual task management system that includes spreadsheets, reports, and a dashboard.
These individual management systems are created automatically through the TaskIT Solutions Center, a TaskIT product that allows for the replication of Smartsheet structures with variable information, based on parameters provided by the user. Failure to use this product results in the manual creation of individual management systems for employees.
