How the System Works

In addition to the main spreadsheet (the Kanban where the task will be recorded and tracked) and the team task management Dashboard, the system has a database of completed tasks to prevent Smartsheet cell limits from being reached and also to prevent the main spreadsheet (task Kanban) from becoming cluttered. 

Kanban task cards have "team members" fields (the people who will be performing the task) and a "project" field, in which employees will select the project to which the task they are performing is associated. Both fields are automatically populated by database spreadsheets through the TaskIT product, called "automatic auto picklist." 

The system's automatic picklists save maintenance time and ensure efficient metrics, as they prevent inconsistencies between the information entered in the task Kanban and the information in the project and employee databases. Not using this product means editing the "team members" and "project" picklist columns. An administrator of the team's Kanban spreadsheet will need to insert/remove data from the selection list by copying it from the employee and project databases. 

For detailed task management, each employee has an individual task management system with spreadsheets, reports, and dashboards. These individual management systems are created automatically through the TaskIT Solution Center, a TaskIT product that allows Smartsheet structures to be replicated with variable information, according to parameters provided by the user. Failure to adhere to this product results in the manual creation of individual employee management systems.
